RESPONSIBILITIES

1. Administration:

  • Coordinating office activities and operations to secure efficiency and compliance to company policies.
  • Track stocks of office supplies and place orders when necessary. Order office supplies and research new deals and suppliers.
  • Monitoring working timesheet of all employees and provide to payroll servicing.
  • Create and update records and databases with personnel, financial and other data in internal system.
  • Mentoring and cordinating all procurement activities including keep track all suppliers’contract and status.
  • Cordinate and working with potential suppliers prior to contract negotiations, evaluate current and new suppliers to determine optimal setup for supply contracts, taking into account costs, delivery times, product quality and available inventory.
  • Oversee fulfillment of supply contracts by verifying quantity and quality of incoming shipments, checking invoices for accuracy, ensuring compliance with contractual regulations and working with vendors as necessary to resolve any discrepancies.
  • Submit timely reports and prepare presentations/proposals as assigned.
  • Assist colleagues whenever necessary.

2. Finance and Accounting:

  • Support to control the budgeting and bookkeeping procedures;
  • Coordinate with external financial and accounting service to monitoring all supporting documents for book-keeping;
  • Submit the reasonable documentation in the systems and assist the transaction nature of recording;
  • Monitoring all operation cost in site and make sure provide on time data for finance and accounting team;
  • Be a representative of finance and accounting department in the direct activities with the local bank, government and tax authorities;
  • Prepare the management report for Group purpose.

3. Other assigned duties as requested and performing ad-hoc duties as assigned from time to time

REQUIREMENTS

  • Graduated from college.
  • Administrative experience.
  • Vietnamese people permanently residing in Australia.
