RESPONSIBILITIES
A. DUTIES
- Advise and assist the Group Chairman in building and monitoring the Group Chairman’s activities and work program.
- Supervise the implementation of instructions and other tasks as directed by the Chairman for units within the Group.
- Carry out tasks as directed by the Group Chairman.
- Responsible for translating and interpreting for the Chairman when meeting with partners (English is required, knowledge of Japanese is preferred)
B. RESPONSIBILITIES
1. Advise and assist the Chairman of the Group in building and monitoring the Chairman’s activities and work program:
- Prepare and monitor the Chairman’s daily work schedule
- Arrange and remind the Chairman’s appointments.
- Arrange the schedule and content of the Group Chairman’s domestic and foreign business trips; prepare visa, passport, air tickets, hotel, shuttle and other necessary things within the required scope.
- Compile reports from Blocks/Departments/Departments under the direction of the Chairman and Executive Assistant.
- Understand the working processes of departments to quickly resolve arising tasks and regulations of the Group
- Manage the list, phone numbers, and addresses of companies, agencies or individuals with regular contact needs to ensure timely and accurate information provision.
- Listen and process quickly and accurately phone calls from outside or from other departments to the Group President.
2. Supervise the implementation of the President’s instructions of the units:
- Responsible for conveying the instructions of the Chairman of the Group to other departments in the Group, at the same time monitoring and urging the implementation of the Chairman’s instructions and collecting feedback from departments for reporting. with the Group Chairman.
3. Other tasks:
- Perform work as assigned by the Executive Assistant.
- Perform special projects as required.
- Carry out diplomatic relations with authorities when assigned.
- Arrange, prepare documents and act as secretary for meetings of the Group Chairman or assigned.
- Accompany the Chairman of the Group on trips to provinces and countries as directed.
- Carry out the work of signing and stamping documents.
- Responsible for drafting official dispatches, letters, documents and transmitting information to departments according to regulations and requirements of the Board of Directors. Carry out extraordinary tasks as requested by the Chairman in all cases.
- Detect and promptly warn cases of non-compliance with laws and regulations of the company’s operations. Accurately evaluate and propose effective specific solutions and solutions.
REQUIREMENTS
- Have a minimum of 3 years of secretarial assistant experience.
- Proficient in office information technology, drafting documents and papers.
- Proficient in English (4 skills), knowing Japanese is a priority.
- Able to travel for business and work overtime.
